Texas 4000 for Cancer Position Description

Position Title: Office Manager
Status: Part Time (20-25 hours per week)
FLSA Status:  Non-Exempt
Immediate Supervisor:  Executive Director

Key Responsibilities:

  • Ensures effective office management of systems and related processes
  • Oversee intern recruitment, training, scheduling, assignments and utilization
  • Obtaining and distributing mail
  • Monitor and delegating emails from the primary “info@texas4000.org” email account
  • Manage merchandise inventory, storage and order fulfillment
  • Manage donor tax receipt process with assistance of interns and Program Manager
  • Manage donor stewardship process in coordination with other staff
  • Manage inventory and purchasing of office supplies and equipment
  • Participate in weekly staff meetings to ensure effective coordination
  • Ensure effective filing systems and document retention
  • Assist with large copying projects and mass mailings
  • Coordinate with Program Manager and Executive Director on accounts payable
  • Data entry/donor database management
  • Provide staffing support at major program and fundraising events

Other Duties:

  • Manage website newsletter entries/ride dedications/journal approvals
  • Assist Executive Director with communications to board members and donors
  • Occasionally assist Executive Director with HR, payroll, and risk management

Desired Skills/Competencies:

  • Ability to manage multiple projects and delegate responsibility
  • Experience working with and managing college-aged student leaders
  • Flexible schedule to ensure office coverage/intern support
  • Strong technological skills, including database, web-based research and email
  • Strong commitment to outcomes
  • Great sense of humor and ability to have fun in a small office environment

Requirements:

  • Commitment to mission of Texas 4000 for Cancer
  • Must have a vehicle and able to commute to the Texas 4000 office and local travel within the Austin area.
  • Database experience (Raiser’s Edge preferred)
  • Minimum of 3 years of relevant administrative experience
  • High School diploma (or equivalent) required. College degree preferred but will accept relevant work experience in lieu of college degree.
